Privacy Policy
How we collect, use and look after your personal information.
Last updated 16 October 2026
Who we are
The Trumpington Group is a family-owned estate business on the southern edge of Cambridge. We are the data controller for the personal information collected through this website (trumpingtongroup.com) and in the course of our dealings with you, and we are responsible for it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
You can reach us at:
- The Trumpington Group, Enterprise House, Maris Lane, Trumpington, CB2 9LE
- Telephone 01223 239759
- Email enquiries@trumpingtongroup.com
What we collect and why
We only collect the information we need to answer you, provide the service you have asked for, or run the estate. Most of it comes directly from you.
- Enquiries. When you contact us by telephone, email or through the details on our contact page, we keep your name, contact details and whatever you tell us so that we can reply and deal with your enquiry.
- Dog Paddock bookings and passes. When you book a slot or buy a pass online we ask for your name, email address, telephone number (optional) and the number of dogs, together with the date and time you have chosen. We use this to take the booking, send your confirmation, gate code and a link to manage the booking by email, and to check a pass against the email address it was bought under. Card payments are taken by Stripe on its own secure pages; we do not see or store your full card details. If you apply for a commercial dog-walking pass we also ask for proof of public liability insurance, photo ID and an emergency contact name and telephone number, so that we can vet applicants before granting access. If you tick “Remember my details on this device”, your name, email, telephone number and dog count are stored in your own browser only, and you can clear them at any time from the booking form.
- Padel court bookings. Padel courts are booked through Playtomic, an independent booking provider, which appears on our padel page in an embedded window. Any account details, booking information and payments you give there are collected by Playtomic under its own privacy policy. Playtomic shares booking details with us so that we know who is using the courts and when.
- Lettings enquiries. If you enquire about a residential or commercial property we are advertising, we keep your name, contact details and the information you give us about your requirements so that we can arrange viewings and, if you go ahead, carry out the referencing and checks required for a tenancy or lease.
- Job applications. Vacancies on our careers page are applied for by email. We use the CV, covering letter and contact details you send us to consider your application and to get in touch about it.
- Technical information. Like any website, our hosting provider records basic technical information about visits, such as IP addresses, browser type and the pages requested, in server logs used to keep the site secure and working. We do not run analytics or advertising tracking on this site.
Our lawful bases
UK GDPR requires us to have a lawful basis for using your information. We rely on:
- Contract — to take and manage your booking, pass, tenancy or other agreement with us, and to take the steps you ask for before entering into one.
- Legitimate interests — to answer enquiries, run and protect the estate and its facilities, keep this website secure, consider job applications and keep proper business records, where this does not override your own rights and interests.
- Consent — where we ask for it, for example before sending you marketing. You can withdraw consent at any time.
- Legal obligation — where the law requires us to keep or share information, for example tax and accounting records, right-to-rent checks or health and safety records.
Who we share it with
We do not sell your information. We share it only where needed to provide our services:
- Stripe, which processes card payments for Dog Paddock bookings and passes.
- Playtomic, which runs padel court bookings and payments on our behalf.
- Cloud hosting, database and storage providers that host this website and the systems we use to run the estate, including the storage of booking records, documents and correspondence.
- Professional advisers, such as our accountants, solicitors, insurers and referencing agencies, where needed.
- Authorities and regulators, where we are required to do so by law or to protect the estate, our staff or the public.
Each of these providers may only use your information for the purpose we have engaged them for, and is bound by its own obligations under data protection law.
International transfers
Some of the providers we use may store or process information outside the United Kingdom. Where that happens, we rely on the safeguards recognised under UK data protection law, such as a UK adequacy decision for the country concerned or standard contractual clauses approved for use in the UK, so that your information is protected to the same standard as it would be here.
How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected, and then for as long as the law or our insurers require us to retain records. In practice this means:
- Enquiries are kept for as long as it takes to deal with them and for a reasonable period afterwards in case you come back to us.
- Booking, pass and payment records are kept as part of our accounting records for the period required by tax law.
- Tenancy and lease records are kept for the length of the agreement and the period afterwards during which claims could arise.
- Unsuccessful job applications are kept for a short period after the vacancy is filled and then deleted, unless you ask us to keep your details for future vacancies.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal information we hold about you (access).
- Ask us to correct information that is inaccurate or incomplete (rectification).
- Ask us to delete your information where we no longer need it (erasure).
- Ask us to limit how we use your information in certain circumstances (restriction).
- Receive the information you gave us in a portable format, or have it sent to another organisation, where we process it by automated means on the basis of contract or consent (portability).
- Object to our use of your information where we rely on legitimate interests, and object at any time to direct marketing (objection).
- Withdraw consent at any time where consent is the basis we rely on.
To exercise any of these rights, contact us using the details above. We will respond within one month. We may need to confirm your identity before we act on a request.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would welcome the chance to put things right first, so please contact us before you do.
Cookies
This site does not use analytics, advertising or tracking cookies. The only cookie we may set is a strictly necessary one used to remember that you have been given access to a preview of the site before it is public; it contains no personal information.
The Dog Paddock booking form’s “Remember my details on this device” option stores your details in your browser’s local storage, only if you tick it, and only once a booking has gone through. Clearing it from the form, or clearing your browser data, removes them.
Pages that include content from other services — the Playtomic booking window on our padel page, Stripe’s payment pages and the Instagram posts shown on our news page — may set cookies belonging to those services. These are governed by their own privacy and cookie policies.
Children
Our services are intended for adults. We do not knowingly collect personal information from anyone under 18 through this website. If you believe a child has given us information, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time as our services or the law change. The date at the top shows when it was last revised. Significant changes will be flagged on this page.
How to contact us
